Frequently Asked Questions

Find answers to common questions about ClarityDesk.

General

What is ClarityDesk?

ClarityDesk is a business management platform for professional services firms and agencies. It connects time tracking, invoicing, expenses, financial reporting, and capacity planning so owners and managers can see how their firm is actually performing — and make better decisions.

Who is ClarityDesk for?

ClarityDesk is built for owners and managers at consulting firms, marketing agencies, design studios, accounting practices, and any team that delivers client services. It's for firms that have outgrown spreadsheets and need a single place to manage time, billing, and profitability.

How is ClarityDesk different from project management tools?

ClarityDesk isn't a task or project management tool. It's a business management platform focused on the financial health of your firm. It answers questions like "which clients are profitable?", "is my team at capacity?", and "where is my revenue trending?" — not "is this task done?"

Features

What project billing types are supported?

ClarityDesk supports Retainer (recurring fees), Time & Materials (hourly billing), and Fixed Fee (progressive billing by percentage completion). You can also track extra billable hours that go beyond retainer or fixed fee scope.

How does time tracking work?

Team members log time on a weekly timesheet against clients, projects, and categories. There's also a floating timer for real-time tracking. If your firm uses time approval, entries follow a draft, submitted, and approved workflow before they can be invoiced.

How does invoicing work?

ClarityDesk has an invoice queue that shows uninvoiced work across all your projects. You can create invoices in bulk, configure tax rates and discounts, and run them through an optional approval workflow. Invoices can be emailed directly to clients and synced to your accounting system.

Can I track expenses?

Yes. You can log billable project expenses, upload receipts with automatic OCR extraction, apply markup percentages, and include them on invoices. Recurring expense templates are also supported for regular costs. Expenses have their own approval workflow with configurable thresholds.

Which accounting integrations are available?

ClarityDesk integrates with Xero and QuickBooks Online on the Pro plan. You can sync invoices and expenses to your accounting system and import financial data for reporting — no manual data entry needed.

What reports are available?

Reports include team utilization, detailed time reports, time by week or month, project profitability, client profitability, and budget tracking. The Pro plan also includes financial statements (income statement, balance sheet, cash flow) and forecasting.

What is financial forecasting?

On the Pro plan, you can build monthly forecasts for revenue, labor costs, and cash flow. ClarityDesk compares actuals against your forecast so you can spot variances early and plan ahead.

How does capacity planning work?

You set utilization targets for each team member, and ClarityDesk tracks their billable hours against capacity in real time. Combined with time forecasting, you can see who's overloaded, who has availability, and plan resource allocation by month.

Pricing & Plans

Is there a free plan?

Yes. The Free plan supports up to 3 users and includes time tracking, unlimited clients and projects, basic time reports, and email support. No credit card required.

What's included in the free trial?

The free trial gives you full access to all Pro plan features — including invoicing, expenses, accounting integrations, financial reporting, and forecasting — so you can evaluate everything before committing.

Can I change plans later?

Yes. You can upgrade or downgrade at any time. Changes take effect at the start of your next billing cycle.

Do you offer annual billing?

Yes. Annual billing saves 20% compared to monthly pricing. You can switch between monthly and annual from your account settings.
